Exclusive Escapes Tours Participation and Refund Policy
1. Participation Criteria
For the safety and enjoyment of all participants, guests must meet the following requirements:
- Weight Limit: The maximum allowable weight for participants is 300 lbs.
- Swimming Proficiency: Participants wishing to snorkel must have adequate swimming skills. Non-swimmers can enjoy the experience from the safety of the boat.
- Mobility: Guests must be able to board and disembark independently using the ladder provided.
Important: Guests who do not meet these participation criteria may be denied entry to the tour without a refund. Please ensure all members of your party meet these requirements before booking.
2. Reservation Procedures
To ensure a smooth and enjoyable experience, guests must adhere to the following booking guidelines:
- Timely Arrival: Guests must arrive 15 minutes before the scheduled departure time to complete the check-in process.
- Advance Bookings: Reservations must be made at least 24 hours before the intended tour date, subject to availability and weather conditions.
- Booking Confirmation: Confirmations will be sent via email, along with detailed meeting instructions and check-in requirements.
3. Definition of a No-Show
A no-show is defined as any guest who fails to meet one or more of the following requirements:
- Failure to Arrive: Does not arrive at the designated meeting location by the specified check-in time.
- Late Arrival: Arrives after the designated check-in time, regardless of the reason.
- Non-Compliance with Instructions: Uses non-recommended transportation or fails to follow provided meeting instructions, resulting in a late arrival.
4. Strict No-Show Refund Policy
The following no-show scenarios are considered non-refundable under any circumstances:
- Late Arrival: Guests arriving after the designated check-in time.
- Failure to Arrive: Guests not present at the meeting location by the scheduled tour start time.
- Non-Compliance: Guests using non-recommended transportation (e.g., renting golf carts or taking taxis) that results in a delayed arrival.
Important: Refunds are not provided for any of the above scenarios, regardless of unforeseen circumstances, including but not limited to transportation delays, personal emergencies, or miscommunication.
5. Cancellation and Refund Policy
We strive to offer flexibility while balancing our operational needs:
- Full Refund: Available for cancellations made 30 days or more before the scheduled tour date.
- Partial Refund: 50% refund for cancellations made 15-29 days before the tour date.
- Non-Refundable: No refunds for cancellations made 14 days or less before the tour date.
6. Special Considerations for Cancellations
Exceptions to the policy are made under specific conditions:
- Adverse Weather: Full refunds are issued for cancellations due to severe weather or other safety concerns. Minor weather variations, such as light rain or mild wind, do not warrant a refund.
- Forecast-Based Cancellations: No refunds for cancellations made based on weather forecasts. Guests are encouraged to contact us 24 hours before the tour for up-to-date weather conditions.
7. Exceptions to the No-Show Policy
There are only two exceptions to this no-show policy:
- Tour Cancellation by Exclusive Escapes: If Exclusive Escapes Grand Turk cancels the tour due to safety concerns, adverse weather, or other extenuating circumstances, a full refund or rescheduling option will be provided.
- Cruise Ship Does Not Dock: If the guest’s cruise ship does not dock in Grand Turk on the scheduled tour date, a full refund will be issued.
8. Voucher Issuance for No-Shows
Although refunds are not provided for no-shows, a non-transferable voucher may be issued at the sole discretion of management. The voucher:
- Is subject to availability and management approval.
- Cannot be transferred, sold, or redeemed for cash.
- Is valid only for the guest(s) listed on the original reservation.
9. Acceptance of the Policy
By booking a tour with Exclusive Escapes Grand Turk, guests acknowledge and agree to all terms outlined in this participation and refund policy. Exclusive Escapes Grand Turk reserves the right to modify this policy at any time to ensure service quality and guest safety.
